FAQ
Frequently asked questions
How does support with Studacy work?
It all starts with a free first conversation with our team. We analyse your situation (level of study, country of origin, project) and offer you a clear roadmap with a quote. Once the contract is signed, we take care of all the administrative procedures right up to your arrival.
What are the timelines for a diploma equivalence in Belgium?
Official timelines vary depending on the time of year and the type of file: usually a few weeks, sometimes longer in high season. Our role is to build a complete and compliant file to minimise administrative back-and-forth and speed up processing.
Does Studacy also provide support for France?
Yes, we support study procedures in France (pre-consular procedure and student visa application). Our core business remains Belgium, where we are based and where we know the entire university ecosystem.
What should I do if my enrolment or visa is refused?
A refusal is not the end of the road. We handle the administrative appeals suited to your situation, respecting the regulatory deadlines. The sooner you contact us after the decision, the higher our chances of success.
How much does a year of study in Belgium cost for a non-European student?
The total cost depends on the type of institution, the cycle (bachelor, master, doctorate) and the city of study. It combines official enrolment fees (which vary across institutions) and the cost of living (housing, transport, food). We provide you with a precise estimate from the very first conversation, based on your project.
What are your fees?
Each file is unique: our fees are set by quote, after analysing your situation. This allows us to offer you support tailored to your profile, with no unnecessary services and no surprises. The quote is always provided before any commitment.
When should I start the admission process?
As early as possible. For non-EU applicants, the admission window closes well before the academic year, often around late spring, and it varies from one institution to another. We set you on the right deadlines from day one.
Are the deposit or application fees refundable?
No. The application fees and deposit required from non-EU applicants are generally not refunded. That is one more reason to file only a strong, well-targeted application, which we prepare with you.
Can you guarantee me an admission?
No serious intermediary can guarantee an admission, which is the institution's decision. What we do is build a strong file and several consistent applications to maximise your chances of obtaining at least one.
How much does registration cost for a non-EU student?
Beyond the ordinary registration fees, non-assimilated non-EU nationals pay a specific registration fee set each year by the authorities. We give you the up-to-date amounts for your institution and plan that budget with you.
Is admission enough to come and study in Belgium?
No: admission is the first building block. It then opens the long-stay visa application and, where relevant, the equivalence of your diploma. We coordinate these steps so they follow on without wasted time.
Do I really need an equivalence to study in Belgium?
In most cases, yes: accessing higher education in the Wallonia-Brussels Federation with a diploma earned abroad requires an equivalence. We review your situation and tell you exactly which type of equivalence to request.
How much does the equivalence cost?
The Equivalence Service charges official administrative fees, the amount of which depends on your situation and is set each year. Legalization and translation costs come on top of this. Our support is quoted separately, based on your specific file.
When do I need to submit my file?
Submission takes place within an annual window, with a deadline set each year for the intake that follows. We always work toward that deadline with a comfortable margin, since a late or incomplete file can be pushed to the next session.
How long does processing take?
The timeframe varies and can run over several months, especially in periods of high demand. That is why we submit a complete file as early as possible and follow its progress to keep you informed.
What happens if my documents are not in French?
They generally need to be translated by a sworn translator and, depending on your country, legalized. We identify exactly what is required for your file and guide you through the correct steps, in the right order.
How long does processing a student visa take?
The law provides for a timeframe of up to nine months, but for studies the decision usually comes within a few weeks, outside peak season. We give you a realistic horizon based on your submission date and consular post.
What financial means do I need to prove?
You must prove sufficient means of subsistence: either personal resources, or a sponsor's commitment via annex 32. The monthly amount is set officially and indexed every year. We give you the up-to-date amount and the accepted form for your situation.
Do I need the diploma equivalence before applying for the visa?
Not always: it depends on your background and the institution. The central piece of the visa file remains the admission. We coordinate the steps (registration, equivalence, visa) in the right order to avoid blockages.
What happens in the event of a refusal?
A refusal can be challenged through an appeal within the regulatory deadlines. We can take charge of this procedure as part of our administrative appeals service.
Can I work while studying in Belgium?
Yes, under conditions: foreign students may work within an hourly limit set by the regulations, without jeopardising their stay. We explain the framework that applies to your situation.
Can you guarantee me a scholarship?
No, and no one honestly can. The decision rests with the body awarding the scholarship. We maximise your chances with a rigorous file, but we never promise an outcome.
Am I eligible for a scholarship to Belgium?
It depends on your country, your level of study, your field and sometimes your age or experience. We always start with an honest eligibility review before committing you to an application.
What types of scholarships exist for non-EU students?
There are several families: Belgian development cooperation scholarships, regional schemes, excellence scholarships specific to certain institutions, and study allowances. Each has its own conditions, and we steer you toward those that match your profile.
When should I apply?
Most programmes open an annual session with a limited application window. We tell you the deadlines that apply to your case and build the file around them, because a missed session is rarely recoverable.
Does a scholarship cover all my costs?
It varies by programme: some cover most tuition and living costs, others only a part. We explain clearly what each scheme covers before you apply.
My enrolment was refused: what can we do?
We first analyse the decision to understand the exact ground, then we file an internal appeal with the institution's academic authorities within the deadline set by its study regulations. We base it on the elements that could change the decision.
How long do we have to react to a refusal?
The deadlines are short and binding, whether for an enrolment refusal or a visa refusal. We recommend sending us the decision as soon as you receive it: once the deadline has passed, the route of appeal is generally closed.
My student visa was refused: what is the remedy?
A long-stay visa refusal can be challenged through an annulment appeal before the Council for Alien Law Litigation, in principle within thirty days of notification. This appeal is not suspensive; depending on the ground, we also assess the value of a better-supported new application.
Does an appeal guarantee the decision will be overturned?
No, and we never promise it: the outcome depends on the grounds of the refusal and the file. We maximise your chances by building the strongest possible reasoning and following the procedure strictly.
Can we handle the appeal entirely on your behalf?
We take charge of the analysis, the strategy, the drafting and the follow-up of the file. Where the procedure requires a lawyer, in particular before the Council for Alien Law Litigation, we coordinate the file with counsel and remain your single point of contact throughout.
